The University closes on 24 December 2015 at 12:45. Consequently, 24 December will be considered as half a day's leave. Only staff members that are absent for the morning must capture half a day's leave on the system. If you are taking leave that will include this date, please ensure that you decrease the number of days absent by 0.5 (half a day). The system calculates all days as full days, and it is each staff member's responsibility to ensure that the correct number of days is captured before submitting the leave for approval.
We kindly ask that line managers check the number of days before approving leave transactions, and please ensure that all leave transactions for the year 2015 and January 2016 is approved by 31 December 2015.
Continuous leave taken over the period December 2015 to January 2016
If you plan to take leave for a continuous period over December 2015 to January 2016, please note that such leave must be captured as two separate transactions:
- Capture a leave transaction for the leave that you want to take in December 2015.
- Capture another leave transaction for the leave that you want to take in January 2016.
The University will officially reopen on Monday 4 January 2016.
Leave pay-outs in January 2016
If you plan to have your accumulated leaves paid out to you in January 2016, and to do this on the sun-e-HR system, please note that you can do so only in January 2016. The option SUN Accum Leave Encashment JV has been adjusted on the system to be approved automatically. Please capture the leave type on or before the 15th of January 2016.
A leave form may be complete in advance and forward it to the Human Resources Client Service Centre. The form must reach the Human Resources Division no later than 6 January 2016 to ensure that they can capture the leave pay-out transaction in time.
The Human Resources Division calculates the leave balance carry-over to the next year (2016) on the last day of the current year (2015), therefore the accumulated leave balance for 2015 will be available for pay-out only in January 2016.
