Important notice from the SUN-E-HR Support Centre

To all users of the SUN-E-HR system – please take note of the following important information:

Application for leave for the period December 2016 to January 2017 and the half day on 23 December 2016:

The University closes at 12:45 on Friday, 23 December 2016.

Consequently, 23 December 2016 is regarded as a half day's leave. Only staff who are not at work in the morning have to take a half day's leave.

Therefore, if you are taking leave that includes this date, please make sure that the number of days is decreased by half a day (0.5 days). The system calculates all days as full days, and it is the responsibility of every staff member to ensure that the correct number of days have been captured before the leave is sent on for approval.

We would like to request line managers to check the number of days before any leave transactions are approved, and that all leave transactions for the year 2016 and January 2017 are approved by 31 December 2016.

 

Continuous leave taken for the period December 2016 to January 2017:

Staff who are taking continuous leave for the period December 2016 to January 2017 must capture their leave as two separate transactions:

•           Complete a transaction only for leave as planned for December 2016.

•           Complete a further/new transaction for leave as planned for January 2017.

The University opens officially on Tuesday, 3 January 2017.

 

Leave pay-outs in January 2016

Any accumulative leave pay-outs (permanent staff appointed before 31 December 2007) for January 2017 can only be captured on the SUN-E-HR system in January 2017.

The leave pay-out type is "SUN Accum Leave Encashment JV"; this option is on Oracle and is approved automatically by the system. This transaction needs to be captured before or on 16 January 2017 in order to be paid by the end of January 2017.

Employees who complete the hard copy must ensure that the application for leave pay-out reaches the Human Resources Division no later than 10 January 2017 to ensure that the leave pay-out transaction is completed in time.

The Human Resources Division calculates the transfer of leave balances to the next year (2017) on the last day of the current year (2016). The accumulated leave balance for payment in January 2017 will only be available then.

On 24 November 2016 Human Resources will to take part in the Sports day and will not be available from 12:00. An individual will be available at the Human Resources reception desk for taking messages and collection of wages checks.

Human Resources staff will be back in office on Friday, 25 November 2016.

Human Resources Year-end function will be on the 2nd of  December 2016. An individual will be available at the Human Resources reception desk for taking messages and collection of wages checks.

Human Resources staff will be back in office on Monday 5 December 2016.

SUN-E-HR, Remuneration And Benefits, Client Service Centre will not be available on 9 December 2016. An individual will be available at the Human Resources reception desk for taking messages and collection of wages checks.

SUN-E-HR, Remuneration And Benefits, Client Service Centre will be back in office on Monday 12 December 2016.
